1. What Data We Collect
When you use KnowMan, we collect the minimum data necessary to provide and improve our service:
- Account information: Email address, display name, and authentication credentials.
- Saved content: Articles, highlights, annotations, and tags you create within KnowMan. This can include article text captured by the browser extension on sites you have granted permission to (see "Browser Extension Content Capture" below).
- Usage data: Feature usage patterns, search queries (anonymized), and interaction logs to improve the product.
- Device information: Browser type, operating system, and screen resolution for compatibility.
2. How We Use Your Data
- To provide, maintain, and improve KnowMan's features, including AI-powered summaries, tagging, and search.
- To personalize your experience and deliver relevant recommendations.
- To communicate service updates, security alerts, and support responses.
- To detect and prevent fraud, abuse, and security incidents.
3. Browser Extension Content Capture
The KnowMan browser extension can read the article text of pages you saved but that we could not fetch automatically, such as paywalled or bot-blocked sites.
- Runs in your browser: This capture uses your existing logged-in session and stays on your device. We never receive your site passwords or login credentials.
- Per-site permission: Capture only runs on sites you explicitly grant permission to through Chrome's standard prompts. We never request blanket access to all websites and never read your browsing history.
- Only your saved articles: On a site you have granted, the extension acts only on the specific article URLs you saved to KnowMan. It takes no action and reads nothing on any other page of that site.
- You are in control: A single toggle, "Auto-capture my saved articles", turns this off entirely at any time. Manual capture remains available.
- Nothing stored from teasers: If a captured page is just a teaser or sign-in wall with no full content, KnowMan stores nothing from it.
Captured text is stored in your KnowMan library like any other saved article.
4. AI Processing
Our AI features (summaries, tags, answers to your questions in Ask, and memory extraction) work by sending the text of your saved articles, and your questions, to AI providers' APIs. This processing is performed by the providers named in section 5, not only on our own servers. We do not use your content to train our own models, and we do not sell it.
Image text recognition: where enabled, transcripts of audio are produced by software running on our own servers. Text in images you save is recognised either by software on our own servers or by DeepSeek's vision model; when DeepSeek is used, the image (or its web address) is sent to DeepSeek. The recognised text is stored with your item.
5. Third Parties
We share data only with the service providers needed to run KnowMan:
- DeepSeek (China): AI summaries, tagging, Ask answers, memory extraction and image text recognition; receives the text of your saved articles, your questions, and images from items you save when image text recognition uses it.
- Z.ai / Zhipu AI (GLM): backup AI provider, used only when DeepSeek is unavailable; receives the same kind of text.
- Railway (EU, Netherlands region): hosts our API.
- Neon (AWS, Frankfurt, Germany): our database, which stores your account and saved content.
- Vercel: hosts the KnowMan web app.
- Hetzner (Germany): servers that parse saved pages and poll feeds.
- Cloudflare: file storage (R2) for images and uploads.
- Resend: sends account and service emails.
- Sentry: error monitoring.
- Stripe: payment processing; we do not store your card details.
- Google: sign-in with Google (OAuth) and Google Analytics usage statistics on our website and app.
- Jina Reader: fetches the public web pages you save, by URL.
We never sell your personal data. We share your content only with the service providers listed above, only as needed to provide KnowMan, and not for advertising. Some providers are outside the European Economic Area: if you are in the EEA or UK, your data may be processed in countries such as China (DeepSeek) and the United States, under those providers' own terms and safeguards. DeepSeek states in its privacy policy that it stores personal data in the People's Republic of China, and that you may have the right to opt out of your data being used to train its models; we are not able to guarantee how any provider uses data it receives, so please read their policies.
6. Cookies
We use essential cookies to keep you signed in and remember your preferences. We use analytics cookies (which you can opt out of) to understand how people use KnowMan. We do not use advertising cookies or trackers.
7. Data Retention
Your saved content is retained for as long as your account is active. If you delete your account, we remove all your personal data and saved content within 30 days. Anonymized analytics data may be retained indefinitely.
8. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Export all your saved articles, highlights, and annotations.
- Correct inaccurate information on your account.
- Delete your account and all associated data.
- Object to data processing for specific purposes.
9. Security
We use encryption in transit (TLS) and at rest. Access to user data is restricted to authorized personnel on a need-to-know basis. We conduct regular security reviews.
